Administrative Assistant for Community Legal Services (CLS) Programs
General Responsibilities: Provide administrative support to the Community Legal Services Director and to CLS Department Program Managers and Staff Attorneys.
Reports to CLS Director
Administrative support for the Director
• Assist with research, data collection, and production of grant applications, reports, and other projects
• Manage membership list, listserve, room reservations, and notices, take minutes, and assist with projects of the Community Legal Services Committee
• Assist with correspondence, filing, scheduling, monthly report tracking, and budget monitoring
• Maintain Outlook calendars
Support for CLS Programs
• Assist with logistics, advertising, registration, materials production, staffing, and reporting of credit for Continuing Legal Education seminars
• Assist with volunteer recognition events, community workshops, and other projects
• Assist with the maintenance and use of Access databases for volunteer mailing lists and case management
• Assist in the maintenance and improvement of the CLS Department website and on-line presence, including posting notices, job and volunteer opportunities, updates, contact information, etc. on KCBA and other websites
• Provide back-up for Neighborhood Legal Clinics telephone scheduler
• Coordinate schedules for Volunteer of the Month articles and for staff presentations at monthly King County Bar Foundation meetings
• Coordinate new employee orientation materials and schedules
• Schedule workstation usage for law clerks interns, externs, and volunteers
• Maintain log of awards given to volunteers
• Handle registration and travel arrangements for conferences and other events
• Participate in CLS Team meetings and assist with special team projects
• Other duties as assigned
Qualifications:
• Two years experience in administration, office management, and project coordination
• Bachelor’s degree desirable
• Strong organizational and administrative skills
• Strong oral and written communication skills
• Demonstrated ability to prioritize work, handle disparate tasks and meet deadlines
• Demonstrated ability to work collaboratively with others as well as independently
• Demonstrated ability to interact with low-income clients and individuals from diverse backgrounds
• Experienced at navigating and doing research on the Internet
• Proficiency with Access database maintenance, report generation, and data entry
• Advanced skills in Microsoft Office software, particularly with Word, Excel, Access, Power Point, and Outlook
